AI Master Club ANZ – Privacy Policy

Last updated: [date of publication]

This Privacy Policy explains how personal information is handled when you visit the AI Master Club Australia and New Zealand websites (aimasterclub.com.au, aimasterclub.au and aimasterclub.co.nz), register for an AI Master Club webinar or event in Australia or New Zealand, join AI Master Club as an Australian or New Zealand member, or use the member community at community.aimasterclub.com.

It is not the privacy policy for Advantage Agency Pty Ltd’s agency, web, AI evaluation or implementation services. That policy is on thisisadvantage.com.

1. Who we are, and who is responsible for what

AI Master Club is one global membership community. Two separate organisations are involved for members in Australia and New Zealand:

  • Wexler LLC (“Wexler“), a company based in Virginia, United States, [Wexler LLC registered address – confirm]. Wexler owns and operates AI Master Club and its member platform. Wexler is the merchant of record: when you buy a membership, you pay Wexler and your membership contract is with Wexler.
  • Advantage Agency Pty Ltd (“Advantage“), ABN 67 651 440 952, ACN 651 440 952, 12/13 Thompson St, Long Jetty NSW 2261, Australia. Advantage is the exclusive authorised reseller and marketer of AI Master Club in Australia and New Zealand. Advantage runs local marketing, webinars and events, enquiries and local member support. Kevin Spiteri is Advantage’s Head of Australia and New Zealand.

Advantage and Wexler are independent businesses. Advantage is not Wexler’s agent, partner or joint venturer.

In this policy, “we“, “us” and “our” means Wexler and Advantage together, each for the activities it is responsible for, as shown below.

Contact Advantage first (section 15). Advantage will handle the request or pass it to Wexler.

We handle personal information in line with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). Wexler carries on business in Australia and handles the personal information it collects about people in Australia in line with the APPs. If you are in New Zealand, the Privacy Act 2020 (NZ) also applies (section 13).

The AU/NZ sites are for people in Australia and New Zealand. They are not directed at people in the European Economic Area or the United Kingdom.

2. What personal information we collect

Depending on how you deal with us, we may collect:

  • Contact and identity details: name, email address, phone number (if you give it), organisation, job title, country and state or region.
  • Webinar and event details: which webinars or events you registered for or attended, questions you ask, and how you heard about us.
  • Membership details (Wexler): your plan (monthly or annual), start and renewal dates, any discount code used, confirmation that you are 18 or over, and your account login details.
  • Payment details (Wexler): whether a payment succeeded, failed, was refunded or was disputed, the billing country, and limited card details that the payment processor shows (such as card type and last four digits). Full card details are entered into and processed by the payment processor, [payment processor name – confirm, e.g. Stripe (Wexler account)]. Advantage never receives or stores your card details. [Confirm Wexler does not store full card numbers.]
  • Community and session content (Wexler): posts, comments, questions, uploads, and your image, voice and comments if you take part in a recorded session.
  • Support and communications: emails, messages, form submissions and notes of calls with us.
  • Website and device information: IP address, approximate location based on IP address, browser and device type, pages viewed, and cookie and similar identifiers (section 9).

We do not ask for sensitive information (such as health information) or government identifiers. Please do not include them, or anyone else’s confidential information, in community posts or support messages.

3. How we collect it

We collect personal information:

  • from you: when you fill in a form, register for a webinar, join, use the community, email us or contact support;
  • from each other: Wexler shares sign-up and membership information with Advantage so Advantage can support AU/NZ members, and Advantage may share leads and webinar registrations with Wexler (section 7);
  • from the payment processor: about whether your payments succeeded, failed, were refunded or were disputed;
  • from cookies and similar technologies on the AU/NZ sites (section 9);
  • from someone else, such as an employer who arranges a membership for you. If so, we will take reasonable steps to make you aware of this policy.

5. How we use personal information

We use personal information to:

  • respond to enquiries and register you for webinars and events, and send you reminders and recordings;
  • set up and run your membership, including your login to community.aimasterclub.com;
  • take payments, process renewals, refunds and disputes, and send billing and renewal notices (including annual renewal reminders);
  • provide member support and local AU/NZ community activities;
  • send marketing about AI Master Club, where the law allows and with an unsubscribe option (section 10);
  • understand how the AU/NZ sites and our marketing perform, using aggregated or de-identified information where we reasonably can;
  • keep the Club and its members safe, including preventing fraud and enforcing the Member Terms and Conditions; and
  • comply with the law, including tax, record-keeping and consumer law obligations.

We do not sell personal information.

6. Automated decisions

[Confirm before publication: Neither Wexler nor Advantage uses computer programs to make decisions about you, using your personal information, that could significantly affect your rights or interests.] Routine automated steps, such as confirming a payment went through or sending a renewal reminder, are part of running the membership. If this changes, we will update this policy to describe the kinds of personal information used and the kinds of decisions made.

7. Who we disclose personal information to

  • Between Advantage and Wexler. Wexler shares AU/NZ member sign-up and contact details with Advantage so Advantage can support and communicate with AU/NZ members about the Club. Advantage shares leads, enquiries and webinar registrations with Wexler where needed to deliver webinars, the membership and the platform.
  • Payment processor: [payment processor name – confirm, e.g. Stripe (Wexler account)], which processes card and wallet payments for Wexler.
  • GoHighLevel: forms, CRM and email tools used for AU/NZ enquiries, webinar registrations and marketing. [GoHighLevel data region – confirm, believed United States].
  • Community platform provider: [community platform provider – confirm] hosts community.aimasterclub.com for Wexler.
  • Other service providers for hosting, email delivery, video and webinar delivery, analytics and support, who handle information on our behalf.
  • Professional advisers, insurers, and anyone a court, regulator or law requires us to disclose to.
  • A buyer or successor of all or part of the Club business, so that it can continue to provide the Club.

8. Overseas disclosure (APP 8)

Personal information collected through the AU/NZ sites is disclosed to and stored in the United States, by and with:

  • Wexler LLC (platform operator and merchant of record);
  • GoHighLevel ([GoHighLevel data region – confirm, believed United States]);
  • [payment processor name – confirm, e.g. Stripe (Wexler account)]; and
  • [community platform provider – confirm].

Some service providers may also process information in other countries they nominate, [list any other countries – confirm].

Before Advantage discloses personal information overseas, it takes reasonable steps to make sure the recipient handles it in line with the APPs, including through contract terms. United States law may require a US organisation to disclose information to US authorities.

9. Cookies, analytics and similar technologies

The AU/NZ sites, and the tools they use, set and read cookies and similar identifiers, including:

  • essential cookies for login and security on community.aimasterclub.com, and for checkout;
  • form and CRM identifiers used by GoHighLevel when you submit a form or open our emails;
  • analytics, including Google Analytics 4 and Google Tag Manager, which tell us how the sites are used (such as pages viewed, approximate location and device type); and
  • advertising pixels, [advertising pixels in use – confirm, e.g. Meta Pixel, LinkedIn Insight Tag], which measure the performance of our ads and may be used to show you our ads on other platforms.

Both Advantage and Wexler have access to analytics for the AU/NZ sites. Some of these providers are in the United States (section 8).

You can block or delete cookies in your browser settings, and you can opt out of Google Analytics using Google’s browser add-on. If you block essential cookies, login and checkout may not work.

10. Marketing emails and how to opt out

We only send marketing emails or messages where you have consented, or where consent can reasonably be inferred, as allowed by the Spam Act 2003 (Cth) and, for New Zealand, the Unsolicited Electronic Messages Act 2007 (NZ). We do not buy email lists or use harvested addresses.

Every marketing message will identify who sent it (Advantage or Wexler) and how to contact them, and will include a working unsubscribe link.

To opt out: click “unsubscribe” in any marketing email, or contact us at [AIMC ANZ privacy contact email – confirm]. We will action your request within 5 business days. Because Advantage and Wexler send some messages separately, you may need to unsubscribe from each sender; if you contact Advantage, it will pass your request on to Wexler.

Unsubscribing from marketing does not cancel a paid membership. To cancel, follow the Member Terms and Conditions. You will still receive service messages about your membership, such as billing, renewal and access notices.

11. Accessing your information (APP 12)

You can ask for access to the personal information we hold about you. Contact Advantage (section 15). Advantage will respond for the information it holds and will pass requests about membership, payment or platform information to Wexler, or tell you how to use the account tools on community.aimasterclub.com.

We will respond within a reasonable time, usually within 30 days. We do not charge for making a request. If we refuse access, we will tell you why (unless it would be unreasonable to do so) and how to complain.

12. Correcting your information (APP 13)

You can ask us to correct personal information that is inaccurate, out of date, incomplete, irrelevant or misleading. You can also update many account details yourself in your community.aimasterclub.com account. If we refuse to correct it, we will tell you why and how to complain, and you can ask us to attach a statement to the record.

13. New Zealand

If you are in New Zealand, the Privacy Act 2020 (NZ) and its Information Privacy Principles apply to how we handle your personal information, including your rights to access and correct it. We will respond to New Zealand access and correction requests within 20 working days. When your information is disclosed outside New Zealand (mainly to the United States, section 8), we take reasonable steps to make sure it is protected in a way that is comparable to the New Zealand Act.

You can complain to the Office of the Privacy Commissioner (privacy.org.nz) if you are not satisfied with our response.

14. Security, retention and data breaches

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, change or disclosure. Wexler is responsible for the security of the member platform and payment systems. Advantage is responsible for the security of its own systems, including its GoHighLevel account and mailbox. No internet transmission is completely secure.

We keep personal information only as long as we need it for the purposes in this policy or as the law requires (for example, financial records are commonly kept for 7 years). We then take reasonable steps to destroy or de-identify it. Community posts and session recordings may stay on the platform for the life of the Club unless you ask us to remove them and it is reasonably practicable to do so.

If a data breach is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Privacy Act 1988 (Cth). For New Zealand individuals, we will notify you and the Privacy Commissioner as required by the Privacy Act 2020 (NZ).

15. Contact us and complaints

Please contact Advantage first about any privacy question, request or complaint. Advantage will deal with it or pass it to Wexler and keep you informed.
